Getting Started

How do I create an account for my church?

Visit the sign-up page and register your organization. The first account you create becomes an admin for your church's workspace.

Do I have to set up two-factor authentication?

Yes — it's required for every account. After your first sign-in, you'll be walked through scanning a QR code with an authenticator app (like Google Authenticator or Authy). This step can't be skipped.

How do I add members?

Go to Members in the left menu and click Add Member. Members are added one at a time from the app. If you have a large backlog of members or past contributions to bring in at once, that's handled as a request rather than self-service.

How do I set up giving categories?

Go to Categories in the left menu. You can create top-level categories (like "Tithe" or "Building Fund") and, when adding or editing one, choose a parent category to group related funds together.

Navigating the App

What does each item in the menu do?
  • Home — your dashboard overview.
  • Members — add, search, and manage your member directory.
  • Categories — manage giving categories and funds.
  • Contributions — where you record a count: physical cash/checks and digital giving, then validate and print the signed report.
  • Imports — only shown once an admin has connected an integration; review and process digital giving pulled in automatically.
  • My Profile — update your own email or password.
  • Settings (admin only) — User Setup, Site Settings, Integrations.
I don't see "Imports" in my menu — why?

The Imports section only appears once your treasurer or admin has connected at least one giving integration (Zeffy or Plaid) for your organization, and only lists the specific ones that are actually connected.

What's the difference between what a counting volunteer and an admin can see?

Counting volunteers see Home, Members, Categories, Contributions, and Imports — everything needed to count, sync, and reconcile. Treasurers and lead helpers (admins) additionally see Settings, where integrations, organization info, and user accounts are managed.

Recording a Count

How do I record Sunday's offering?

Go to Contributions, confirm the date, then enter your physical count — coins and bills by denomination, and each check logged by number and amount. Any digital giving that's already been reviewed and processed shows up in the same list.

How does validation work?

As soon as your physical count and your data entry are both in, StewardDesk checks the two against each other automatically. A clear match or mismatch indicator shows immediately — you'll know before anyone signs, not after.

How do I print the signed report?

From the Contributions page for that date, use the Print option. It produces a printable record with the physical count breakdown, digital giving, the validation result, and two signature lines — Counted by and Verified by, both dated.

Digital Giving Integrations

What's the difference between Zeffy and Plaid?
  • Zeffy — pulls in donations made through your church's Zeffy giving page.
  • Plaid — connects your church's bank account directly, so incoming deposits (Zelle, Venmo, direct deposit, checks, and more) show up for review.
What does the Zeffy import bring in?

Every successful payment across all of your Zeffy campaigns and donation forms — not just one — is pulled in, so you don't need to connect each campaign separately. For each payment, StewardDesk brings in the amount, date, donor name and email, payment method, and which campaign or fund it was given through.

Why do imported transactions need to be reviewed before they count?

Nothing from an integration is automatically recorded as a contribution. Every imported transaction lands in a review queue first — a volunteer confirms which member it belongs to and which category it's for, and only then does it become an official contribution. Anything that isn't a real donation can simply be disregarded.

How do I connect Zeffy?

An admin goes to Settings > Integrations, selects Zeffy, turns it on, and enters the Zeffy API key. If you don't have a key yet, you can request one from Zeffy. Once connected, anyone can click Import from Zeffy on the Zeffy Transactions page to pull in new donations.

How do I connect a bank account?

An admin goes to Settings > Integrations, selects Plaid, and turns it on — this opens a secure bank login window. Once connected, anyone can click Sync on the Bank Transactions page to pull in new deposits.

Once an integration is turned on, can it be turned off again?

Turning an integration on for your organization is permanent — it can't be switched back off from the Integrations page. Disconnecting a bank or Zeffy account is different: that just clears the connection so it can be reconnected later, without affecting the on/off setting itself.

Members & Categories

Can I bulk-import a backlog of members or contributions?

Yes, but it's not self-service — bulk imports (a spreadsheet of members, or a backlog of past contributions) are handled by request. Contact us with your file and which organization it's for, and our team will run the import for you directly.

How do I organize categories into funds and sub-funds?

On the Categories page, when adding or editing a category you can choose a parent category, letting you group related categories together — for example, "Missions" as a parent with "Missions - Local" and "Missions - International" underneath.

Account & Settings

How do I change my password or email?

Go to My Profile to update your email or change your password.

How do I manage other users' accounts?

Admins see full user management under Settings > User Setup — add, edit, or remove accounts for your organization.

How do I update my organization's info?

Settings > Site Settings (admin only).

How do I turn an integration on for my organization?

Settings > Integrations (admin only) — select the integration from the list and follow the setup steps. An integration may show as "Coming soon" if it hasn't been released yet.
